Personal Assistant to Strategy & HR Director (Mergers & Acquisitions), To £40K, London Based (Strand)
Our Client who are a well known & established professional services company are seeking a PA to support the Strategy, Mergers and Acquisitions Team as well as the HR Director
The candidate will require experience at Director Level and be able to show an understanding of a M&A function. They will need to be confident and calm, self motivation, diligent and discrete, and also able to get along easily with people across the business.
Core responsibilities:
· Full diary management, ensuring appropriate prioritisation is made on conflicts.
· Need and willingness to fully understand the business priorities
· Ensure regular communication with both Directors, to keep up to date on changing priorities and requirements and to provide first class support
· Deal with correspondence (telephone/post/email)
· Managing inbox and prioritising key emails, dealing with those which can be sorted by the PA, to protect the Directors time
· Ensuring relevant admin filing is created and maintained to ensure files are kept up to date
· Booking any necessary travel, hotels and cars through 3rd party provider
· Booking all meetings rooms/organising lunches, etc
· Acting as a co-ordination point to both depts, for all board report submissions deadlines, etc to ensure they are submitted on time and in the format required
· Collate monthly HR and Strategy submissions for Main Board report and ensure reminders are set in necessary diaries.
· Follow up with Directors on actions for board meetings/external meetings
· Ensure Directors are fully prepared for all meetings - accompanying papers, materials are provided in advance
· Processing of monthly expenses
· Organising and attending any related off site meetings
· Attending PA monthly team meetings and off site meetings
· Completion of weekly timesheets for Strategy & HR Director
· Build strong working relationships with other PA's and management team
Specific Strategy Director/M&A Team requirements:
· Need and willingness to understand the priorities of the Strategy and M&A function
· Build effective relationships with Strategy Team and Strategy personnel.
· Assist with monthly Strategy Leadership Team Meeting - organising agenda/ attending and taking actions / following through to ensure these have been sorted prior to the next meeting.
· Produce monthly Investment Board packs, liaising with Investment Manager to ensure timely production and distribution.
· Ensure business contacts are up to date with full details and categories
· Maintain VIP contact list and ensure meetings are arranged as noted
Specific HR Director requirements:
· Need and willingness to understand the priorities of the HR dept
· Assist with monthly HR Leadership Team Meeting - organising agenda/ attending and taking actions / following through to ensure these have been sorted prior to the next meeting
· Collate HR monthly submissions for Ops Board & Monthly Report Commentary
· Sharing (where appropriate) details on HR initiatives with the wider PA team to ensure full understanding is achieved across the team
Experience:
Essential
· Experience as Director level PA
· Knowledge and understanding of an M&A function
· Excellent PC skills, principally Microsoft Office and essential Outlook experience
· Experience of working in a commercial business environment, meeting deadlines and dealing with ever changing diary requirements
· Well organised with an eye for detail
· Discrete - due to the nature of information shared in this area of the business
· Strong interpersonal and communication skills
· Team player (within Strategy & HR team, and also the wider company PA team)
· Enthusiastic and flexible approach to varied work and travel
· Excellent time management and prioritisation skills
· Flexible attitude to working hours, when the need is required - esp. in M&A environment
· Working to tight/changeable deadlines
· Understanding of the sensitivities associated with M&A
Preferable
· Min 1 year working through a deal process/M&A environment
· Experience of working in a professional services organisation
· Knowledge, experience and understanding of a HR department and its related processes
· Personal interest in Strategy, M&A and/or HR function
